What information do we collect?

Contact details and interests: for example if you enter one of our competitions, enrol for an event or sign-up for a loyalty card or promotion, either online or through a paper physical form.

Car parking: if you park at one of our centres, we may collect your license plate to administer our car parking fees, and your credit card details to make any payments. We will collect your contact details if you join a frequent visitor or staff parking scheme.
Loan or hire equipment: we will collect your personal details so that we loan or hire equipment such as a push chair or mobility aid to you.
CCTV analytics: we may use our CCTV systems to record and analyse information such as age approximation and gender or to find out how many people are in a particular area and for how long. We do not conduct our analytics on a personally identifiable basis.
If you consent to marketing, we may use third party marketing agencies to develop email marketing campaigns and social media, to provide customer insight through the analysis of data and to collect personal data on our behalf.

We may use your personal information:

To tailor our online services to you so the content you see is relevant to you. For example, we may request your date of birth, gender and some basic interests (such as ‘shopping’ and ‘dining’) so that we can provide you with content that we think you will be interested in.

Security at our centres.

We have a duty to keep our centres and those visiting them safe and secure.

We collect images of visitors and customers to our properties using CCTV, Body Mounted Video and Automatic Number Plate Recognition systems. Our CCTV may be able to detect the presence of a person in the building after it is closed or in an inaccessible area, for example. We also collect personal information from our access control systems.
The information we collect for security purposes may be shared with the police, tenants, local authorities, other sites or local crime reduction partnerships and initiatives. We may also share information with insurance companies where this necessary to manage an insurance claim.
Security Analytics: The alerts are reviewed by a security operative to determine the appropriate response. The technology provides Landsec with support in keeping its premises secure and its occupants safe as a legitimate interest, and does not involve facial recognition processing, or any processing for the purpose of unique identification through biometrics.

Accident and incident reporting

Unfortunately, there is a possibility that an accident or incident may occur in one of our premises. When an incident does occur, we are required to document the particulars of the incident. This may include witness statements, CCTV footage, photographs and written reports.

The data may be shared with third parties such as insurance providers or legal advisors in order to defend a claim. We may also share personal information with the relevant official organisations – such as the police or the Health and Safety Executive – so that any incident can be investigated and dealt with.

This information is collected so we can comply with our legal responsibilities in relation to Health and Safety or to prevent and detect crime, or to protect public safety.

What is our legal basis for collecting your personal information?

Contract: if you sign-up for our gift card, loyalty programmes, clubs, events, car parking, postal service, hiring services, wi-fi, competitions or promotions.

Legitimate interests: for example to respond to customer queries or complaints, to gain insight into customer perception of our offerings, to run promotions, competitions and events. It is also in our legitimate interests to collect personal information where this is necessary for security purposes.

Consent: we are most likely to ask for your consent so we can send direct marketing material to you.

We may share your personal information with organisations including:

Landsec has technical and organisational measures in place to make sure your personal information is subject to suitable security and is not shared or used inappropriately.

If we share personal information with a third party, we always require them to maintain appropriate technical and organisational measures to protect it.

How long do we keep your personal information for?

We generally retain customer feedback responses for 15 months to allow year on year comparisons. For our VIP events run in our outlets, personal information is generally deleted after 12 months.

We generally retain CCTV and Body Mounted Video footage for up to 31 days, unless an incident or suspected incident has occurred. ANPR data is kept for as long as is contractually required.

Access Control System data are deleted on request from our occupiers. Access cards that have not been used for three months are deactivated. Any passes which have remained inactive for twelve months will have all data relating to the card permanently deleted. All visitor management systems data is deleted if a visitor has not returned to the site within six months.

In some cases we keep personal information for longer than usual, for example to manage a complaint or in the context of litigation.

In some cases we will anonymise your personal information for research or statistical purposes. We may hold anonymised information indefinitely.

Privacy Notice: Landsec Commercial Properties

This privacy notice explains the way Landsec may collect personal information about you in the context of our commercial premises.

What information do we collect?

Customers or potential commercial customers

If you take up a tenancy on a commercial property, we will use your personal data for the purposes of fulfilling our obligations and ongoing billing and tenancy arrangements, including property management services, health and safety, crime detection and business continuity purposes.

The personal information we collect includes:

Contact Information: name, mailing address, phone number, email address
Professional Information: company name, title, role, team, other information about your profession;
Payment Information: credit or debit card details, bank account information, payment or other information required when you make a purchase.

Visitors, guests and occupants

If you are a visitor to, or occupant of, one of our commercial premises, Landsec and the organisations it partners with may collect and use the types of information about you set out below. Note that Landsec usually carries out services such as providing wi-fi or administering security and access to premises on behalf of its occupants, so you may wish to read the occupant's privacy notice as well as this one. This could be your employer's notice if your employer is the tenant of a Landsec property, for example.

Professional information provided to Landsec by its occupants such as employee ID details to allow their access to the premises to be administered.
Wi-fi log-in and usage details to allow visitors, guests or occupants to Landsec premises to use the free wi-fi.
Images and data obtained through CCTV, Body Mounted Video (BMV) and ANPR (Automatic Number Plate Recognition) systems.

How do we collect information about you?

For customers or potential customers, the information we collect is normally information you have provided as part of your inquiry into a property or as part of your occupancy of it. We may share information with third party organisations to the extent that this is necessary to answer your enquiry or to administer your occupation of one of our premises. For visitors, guests, occupants and tenants, most of the personal information we have has been provided by the organisation occupying Landsec premises – e.g. employee ID details so we can issue badges to allow you to access your workplace. Landsec also collects some personal information via CCTV, BMV and ANPR as described above. For commercial tenants we will also collect the personal information necessary to carry out billing and management administration. We may also use personal information to monitor and improve the products and services we offer.

How we use your personal information

Landsec uses personal information obtained through CCTV and BMV for access control purposes, to protect the premises in question, to protect the safety and vital interests of our visitors, employees, tenants and customers, to assist with the prevention and detection of crime and to provide our services to our tenants. ANPR is collected to fulfil a contract between Landsec and users of our parking facilities, which may include enforcement action.

We may also use information collected to perform other important business operations, for example: to understand usage patterns (such as foot traffic) within our properties and to provide customer support.

This information is collected so we can comply with our legal responsibilities in relation to Health and Safety or to prevent and detect crime, or to protect public safety.

In some cases we will anonymise your personal information for research or statistical purposes. We may hold anonymised information indefinitely.

Specific retention periods:

For CCTV and Body Mounted Video: Generally, this data will not be held for longer than 31 days unless an incident or suspected incident has occurred. ANPR is kept for as long as is contractually required, this is usually around 31 days.

For Access Control Systems: access cards and the personal data associated with them are deleted on request from our occupiers. Cards which are not used for three months are deactivated. Any passes which have remained inactive for twelve months will have all data relating to them permanently deleted.

Visitor Management Systems: All data is deleted if a visitor has not returned to the site within six months.

Incident management: personal data relating to an incident, such as CCTV footage, witness statements, photographs or written reports, is usually held for six years, unless it is necessary to retain it for longer, for example where there is an ongoing HSE investigation or where a child has sustained an injury.

If you supply services to Land Securities Properties Limited, we collect some personal information about you as part of our onboarding process and during our ongoing business relationship with you. This privacy notice explains the information we collect and how we use it.

If you or your organisation supplies services to Landsec, we will collect the following information about you:

I WANT TO APPLY FOR A JOB AT LANDSEC

Privacy Notice: Candidates

Thank you for applying for a role at Landsec. This Privacy Notice explains how Land Securities Properties Limited (“Landsec”) collects and uses your personal information during the recruitment process.

What information do we collect about candidates?

We typically collect a candidate’s name, email address, postal address, phone number, qualifications, employment history, your right to work in the UK, information obtained from public records, other application details and your resume/CV. If we receive your application via a recruitment agency, we expect the agency to have your agreement to contact Landsec and to direct the candidate towards this privacy notice. If a candidate applies through LinkedIn or a similar app, we recommend that you read both the app privacy notice and the Landsec one.

Some of our roles may require you to undergo a Basic Criminal Records Check (also known as a basic DBS check). A basic check contains details of convictions and conditional cautions considered to be ‘unspent’ under the terms of the Rehabilitation of Offenders Act 1974. We will only collect this information about criminal convictions if it is appropriate given the nature of the role or are otherwise legally required to carry out such checks. Many shopping centres and other properties owned or managed by Land Securities Properties Limited may offer its visitors and occupants free wi-fi. Landsec may work in partnership with a third-party provider to offer this service. This privacy notice explains the information we collect and how we use it if you choose to use our wi-fi.

What information do we collect and how do we collect it?

Email address: We normally ask for your email address before you can use the service. We collect this to authenticate the service and to form a contract with you so you can use the service.

Location tracking and profiling: some of our wi-fi services may communicate with your device to identify its location. This will operate irrespective of whether or not you have subscribed to the Wi-Fi service.
